What We Never Paste Into a Chat Window

November 2, 2026

People's private details stay out of every AI tool. Client material stays out unless both the contract and the tool's terms allow it. Everything else is a settings question, and the settings take five minutes.

Passwords and other people's private details stay out of every AI tool. Client material under contract stays out unless both the contract and the tool's terms allow it. Everything else is a settings question, and the settings take five minutes.

Most people treat a chat window like a diary. It behaves more like a shared drive at a company you've never visited.

What happens to what you paste?

That depends on the tool and the plan.

Most consumer AI apps keep your conversation history. Some use conversations to train future models unless you switch that off. Business and team plans usually come with different terms.

The five-minute check: open settings, find the data controls, read what they say about training and history, and decide on purpose.

What do we keep out entirely?

  • Passwords, API keys and recovery codes.
  • Card numbers, bank details and government ID numbers.
  • Other people's private details. Health, addresses, anything told to you in confidence.
  • Client material under an NDA or contract, unless the contract and the tool's terms both allow it.
  • Anything about a person who hasn't agreed to be discussed.

How do we work with sensitive material anyway?

  • Swap names for roles. The client. Vendor A. The new hire.
  • Summarize first, then paste the summary.
  • Strip the file before it goes up. Names, numbers, addresses out.
  • Do the sensitive work on an account whose terms you have actually read.

How do we handle it in our own sessions?

Every session we host is recorded, and we say so in three places: on the listing before anyone registers, out loud before anyone speaks, and in the chat.

The disclosure names the notetaker. It says the recording becomes the replay in our Discord, and that clips, sometimes close to the full session, can go on YouTube and social. It says anyone who speaks, appears or chats may be in it. To stay out: camera and microphone off, out of the chat, or tell the moderator and we keep you out. Staying means you are fine with all of that.

Nobody should find out after the fact what was captured. The same goes for what you hand an AI.

One test before you paste

Would you be comfortable reading it out loud at your next client meeting?

Frequently asked questions

Is it safe to put client work into ChatGPT or Claude?
That depends on three things: your plan, your settings and your contract with the client. Check all three.

Does deleting a chat delete the data?
Not always right away. Providers keep data for set periods under their own policies. The retention section of the privacy policy tells you how long.
